Reuse Specifications
Instead of recreating new specs for each product, a quick search of the online spec database can reveal specs that closely match your requirement. Reusing specs can improve cost efficiencies and reduce wastage.
Approval workflow
Send spec sheets for review and approval through a workflow. Department users receive alerts and can request changes to the spec. Audit log shows where the approval is pending. The status moves from Draft, Approved, Effective to Obsolete. Setting an effective date as part of the workflow is a good practice.
Manage Versions and Revisions
Link and share specs to Artworks
Attach specs to the artwork process so that they can be shared with the vendors and suppliers. The artwork process includes options for vendors to download the spec when required.
Where-used
Specifications which are linked to the artwork process can be queried to see where a particular spec has been used and see the impact of changing a spec. Without a central database its hard to do a ‘where-used’ search across all specifications. The same database can also identify specs which have not been used and can be trimmed from the database if required.
Search
The database can be searched using a combination of specification parameters (supplier, dimensions, component types, etc.) to narrow down to the required spec. Similarities between specs can be seen from the search results. This can help in consolidating the specs to save cost.
